Job Description Overview
The PMO & External Coordination Officer plays a critical support role in ensuring the smooth execution of projects, responding to high-level external requests, and maintaining overall coordination and communication within the division. This individual acts as the operational backbone, providing support to leadership, overseeing follow-ups, managing documentation, and ensuring alignment with strategic goals.
Key Responsibilities
- Project Coordination
- Fluency in both English and Arabic is mandatory
- Support the PMO in tracking project timelines, deliverables, and milestones.
- Assist in preparing project reports, presentations, and dashboards.
- Maintain project documentation and ensure it is up-to-date and accessible.
- External Communications
- Serve as the point of contact for external entities and stakeholders.
- Draft formal responses to high-level correspondences and ensure timely replies.
- Coordinate with other departments to collect input for external requests.
- Division Coordination & Support
- Act as a liaison between leadership and internal/external teams.
- Follow up on tasks and ensure accountability across the division.
- Organize and document internal meetings, agendas, and action items.
- Administrative Oversight
- Ensure smooth day-to-day operations within the division.
- Maintain trackers for external requests, incoming memos, and strategic initiatives.
- Support in preparing materials for leadership meetings and external events.
Qualifications & Skills
- Bachelor’s degree in Business Administration, Project Management, or related field.
- 8+ years of experience in project coordination or executive support roles.
- Strong organizational, multitasking, and problem-solving skills.
- Excellent written and verbal communication skills (Arabic & English).
- Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook).
- Experience with project management tools (e.g., MS Project, Jira, Asana) is a plus.
