  • Description:
    Tasks Related to Monitoring Employee Attendance, Leaves, and Departures:
    • Monitoring employee attendance, absences, and leaves in coordination with security personnel at the gates and by referring to the company’s approved attendance tracking systems.
    • Using spreadsheets or approved computer programs to record employee attendance data.
    • Ensuring the accuracy of attendance cards or fingerprint systems and making necessary adjustments.
    • Ensuring secure storage and archiving of attendance records, whether paper-based or electronic, in accordance with the company’s approved system.
    • Keeping accurate records of working hours for each employee at every work site.
    • Manually and digitally recording paid and unpaid leaves, and ensuring this information is updated in employee records in accordance with company policy.
    • Verifying recorded attendance and working hours, and reviewing wage adjustments to ensure employees are paid accurately and on time.
    Tasks Related to Assisting in Payroll Preparation:
    • Assisting in payroll preparation by providing information on employees’ working hours and calculating overtime.
    • Updating employee records with information about loans, unpaid leaves, long absences, end of service, other deductions, as well as bonuses, incentives, and expense reimbursements according to company policies.
    • Maintaining records of employee promotions and benefits.
    • Informing employees about any updates or new policies issued by company management.
    • Managing employee loan requests in coordination with the payroll staff and in accordance with company policies.
    • Managing health insurance requests.
    • Maintaining good relationships with employees and providing advice regarding policies, regulations, and laws.
    • Keeping employee files updated with any new information such as training, education, certifications, contact information, legal matters, etc.
    • Following up on employee logistics services such as transportation, lodging reservations, travel, and accommodation in coordination with the company’s Corporate Services Department.
    Tasks Related to Onboarding New Employees:
    • Assisting in setting up fingerprint registration for new employees during the hiring process, and providing support to employees when re-enrollment or use of the fingerprint system is needed.
    • Following up on employee information in the Human Resource Management System (HRMS) to ensure accuracy.
    • Supporting new employees during the onboarding process, organizing and updating their files in accordance with company policies, and responding to their inquiries.
    • Preparing employment files, including policies, employee handbooks, job descriptions, etc., to be handed over to new employees with the help of the Recruitment Department.
    • Ensuring that new employees undergo medical examinations in coordination with the clinic.
    • Preparing employment contracts for new employees and explaining the benefits and obligations in accordance with local legal requirements and company policies.
    • Conducting exit interviews, recording the findings, analyzing them, and submitting a report to the department head.
